Correcting or Reversing Charges in Fleet360
Fleet360 corrects charges one record at a time, from the screen where the charge was made. Classic-style bulk utilities such as mass credits or mass billing (for example, crediting one charge across many assets or customers at once) do not have a Fleet360 equivalent. This article lists what Fleet360 does offer and what to do when a correction is larger than that.
What Fleet360 can correct or reverse
What was charged | How to correct it in Fleet360 | Scope |
|---|---|---|
A part, labor, warranty or misc. transaction on a work order job | Reverse Tx on the transaction, while the job is Open or Partial. The original stays with a Reversed badge and an offsetting entry is added. See Reverse a transaction and Transaction types. | One transaction at a time; the full posted quantity is reversed |
A purchase order receipt | Reverse on the Receipts tab; several receipts on the same PO can be selected and reversed together. See Purchase Order Receipts. | One PO at a time |
A vendor refund or credit on a purchase order | Add a line with a negative quantity and receive it; there is no separate credit memo screen. See Purchase Order Receipts. | One PO at a time |
A manual parts charge-out | Cannot be reversed; the on-hand side is corrected with a bin quantity adjustment. See Parts Chargeout. | One part / bin at a time |
A part quantity that is wrong on the shelf | Adjust the bin quantity. See Manual Part Inventory Count Adjustments. | One part / bin at a time |
What Fleet360 does not have
No mass credit or mass billing utility, and no way to credit or re-bill a group of assets, customers or a whole period in one step.
No customer credit memo screen.
Imports (for example the Work Order and Part Post to Work Order imports) add records only; there is no import that reverses, deletes or credits existing transactions, and an import cannot be undone from Fleet360.
A reversal cannot itself be reversed, and a reversal reverses the whole transaction, not part of its quantity.
Large-volume corrections. A correction that spans many work orders, assets or customers, a whole billing period, or records created by an import cannot be done from Fleet360 screens or imports. It is an RTA data correction, reviewed and handled case by case rather than as a routine fix. Have the scope ready: the date range, facility, the assets or customers involved, the charge or amount to correct, and why. Fleet360 records for other assets and periods are not affected.
