Post parts to a job

Requires the Post: Parts permission (and Post: Non-inventory Parts to post a part that isn't tracked in inventory). See Work Order permissions.

A part request from the parts queue can also result in a Parts posting on this job, as an alternative to the steps below — see How parts requests become postings.

Steps

  1. On the job you want to post parts to, open the job's action menu and select Add Posting.

    The Add Posting panel opens with this job already selected. If the job is closed, saving a posting later in this flow prompts you to reopen it first — confirm the prompt to continue.

  2. Select the Parts posting type tab, if it isn't already selected.

    NOTE: If this job already has a standard part kit attached that hasn't been posted yet, a Part kit is not posted card appears above the Parts fields with its own Post Part Kit button — selecting it fills that kit into the Parts fields below for you to review before posting, rather than posting it immediately.

  3. In the Part Number field, search for and select the part or part kit you want to post. This field is required.

    • Selecting a part kit switches this panel to show the kit's component parts and position selections instead of a Bin field. For what a Part Kit posting records, see Posting types.

    • To post a part that isn't tracked in inventory, turn on Non-inventory instead of searching by part number, then enter the part's description and cost.

  4. Select the Bin to post the part from. Only bins with available quantity are selectable, unless your tenant allows negative parts quantities.

  5. Enter the Quantity to post.

  6. Confirm or change the posting Date.

  7. If Unit Price is editable for you, confirm or enter the price. Otherwise, the part's on-file price is shown.

  8. Select Post.

    NOTE: If the part carries active warranty coverage, a confirmation dialog appears asking whether to create a warranty claim for it before the posting completes. See Warranty workflow.

A "Part posted" confirmation appears, and the part's cost is added to the job. For how that cost rolls up into the job and Work Order totals, see How postings affect costs.

If this step fails

If Quantity shows a "Value must be less than or equal to" error, the amount you entered is more than the selected bin's on-hand quantity — enter a smaller quantity, choose a different bin, or confirm with your administrator whether your tenant allows negative parts quantities.
