Fields
Field | Notes |
|---|---|
Schedule | Selects an existing schedule to edit. Each entry is summarized as frequency · time · format · recipient count · status. |
Schedule name | Required, up to 80 characters. Defaults to "Schedule 1", "Schedule 2", and so on. Leading and trailing spaces are ignored, and matching is case-insensitive. |
Format | Export CSV or Export PDF. CSV is the default. |
Deliver to users | Fleet360 users. A user with no email address on their record cannot be selected. |
Also deliver to email addresses | Free-text addresses, inside or outside your organization. Addresses are lower-cased and de-duplicated. |
Report inputs | Shown only when the report has parameters or filters. Must be complete before the schedule saves. |
Enabled | Whether the schedule runs. A disabled schedule keeps its configuration. |
Start date | The date the schedule begins. |
Time | Time of day for delivery. Defaults to 08:00. |
Repeat | Daily, Weekly, Monthly, or Yearly. Weekly takes days of the week; Monthly takes a day of the month. |
Date ranges
Scheduled reports offer two date-range modes. This choice is available only when scheduling, running a report interactively uses fixed dates.
Mode | Behavior |
|---|---|
Custom dates | A fixed window. Every delivery returns the same period. |
Rolling period | A window that moves with each delivery. |
Rolling periods available:
Today · Last 7 days · Last 30 days · Last 90 days · Last 3 months · Last 6 months · Last year · This year · Year to date · This quarter · Last quarter · This month · Last month · This week · Last week
Which of these a report offers depends on how the report was built. A report that declares no date-range durations shows the date picker only.
Recipients and data access
Recipients receive a snapshot generated with the schedule owner's report access, not their own. An external recipient sees the data the owner's permissions and facilities allow.
When a recipient is a Fleet360 user, the scheduled report is generated with that user's own data access. Reports sent only to an email address are generated with the schedule owner's access.
This is the opposite of sharing, where the report runs under the recipient's own access. See Share a report or folder.
External recipients receive a public, token-based download link that requires no sign-in.
Status
A schedule shows as Enabled when it is scheduled to run, including when it is catching up on a missed run. Otherwise it shows as Disabled.
Save requirements
Save stays disabled until all of these hold:
A schedule is selected or being created
The name is non-empty and not a duplicate within this report
At least one recipient, user or email address
Every email address is valid
Report inputs are complete, if the report has any
The timing configuration is valid
Leaving a schedule with unsaved edits prompts "Discard unsaved changes to this schedule?"
