EFI templates and fuel modules: what you can change and what Support sets up

Electronic Fuel Import (EFI) reads the transaction file exported by your fuel provider and turns it into fuel entries, meter readings and fuel cost on your assets. Two pieces make that work:

  • EFI template — the file layout: which column holds the date, asset, odometer, quantity, price and so on. A template is either Global (shared, RTA-maintained) or Local (your company’s own).

  • Fuel module (EFI module) — your company’s settings for one fuel source: which template it uses, product codes, drop-zero-quantity and other load/process options. You pick the module when you load a file.

Global templates vs your Local templates

Under Settings > Fuel Settings > Configurable EFI Management each template has an Import Level:

  • Global — a shared template RTA maintains for a fuel provider’s standard file. Every company using that provider format reads the same template, so it cannot be created, changed or deleted from a customer login even with EFI permissions. If a Global template does not fit your file, ask Support (below) rather than editing it.

  • Local — a template that belongs to your company only. Local templates are yours to create (New Template, always saved as Local), edit and delete. A Local template cannot be deleted while a fuel module still uses it — point the module at another template first.

Template editing is not a user-group permission: the EFI permissions (view, edit, create/edit/delete fuel module) control the fuel modules and the Load/Process screens, and Manage Configurations opens the Fuel Settings pages. If your company was set up before template editing was released, the New Template button and template fields may be unavailable for Local templates too — contact Support to have it enabled.

If you have EFI permissions and the template fields are greyed out, check the Import Level first: a Global template is read-only for everyone outside RTA.

Requesting a template change or a new fuel module

Send a request to support@rtafleet.com when you need any of the following:

  • a new fuel provider or fuel source (new fuel module and, if you do not want to build a Local template yourself, the template);

  • your provider changed the export layout and the module uses a Global template;

  • the file loads but a value lands in the wrong field (for example price and total swapped) on a Global template.

Include with the request:

  1. A sample of the actual file your provider sends, in the exact format you will load (.csv or .txt; comma, tab, space or fixed-length is fine). The file must contain Date, Asset, Odometer, Quantity, Price and Total; Product, Pump and Tank if you want them imported.

  2. The name of the fuel provider and, if you already have one, the fuel module the file is for.

  3. What is wrong or what changed, if this is not a first-time setup.

The layout has to stay the same every time the provider exports it; if it changes later, send a new sample so the template can be updated.

FAQ

The Load EFI page has no Browse Files / drag-and-drop box for my module. That module is not built on a configurable template yet. Send a sample file to Support so it can be rebuilt; see Fuel - Load EFI.

Can I copy a Global template and edit the copy? There is no copy function. Create a Local template with New Template and enter the column layout, or send Support the sample file and describe the difference.

My WEX (or other provider) file will not load. Loading only works once a module exists for that provider’s file layout. If you have not been through the setup with Support, that is the first step.
