Share a report or folder

Sharing gives colleagues access to a report you own, or to a whole folder of them. Recipients can view and re-run what you share; they cannot edit it.

Before you begin

  • You must own the report or folder. "Only the report owner can change sharing."

  • Recipients need their own Ron360 Reports access to open what you share.

Share a report

  1. Go to Ron 360 Reports and select the report.

  2. Open the report's actions and select Share.

  3. In Share with users, add the people you want.

  4. Select Save.

Recipients see the report in their own list, marked "Shared by your name".

Share a folder

  1. In the reports list, open the folder's menu and select the share option.

  2. Add users and select Save.

Sharing a folder covers the reports inside it, and recipients can add their own reports to that folder, useful for a shared workspace a team builds up together.

Delete it

Recipients see the report through their own permissions. They get the same report definition, run against the facilities they have access to, so two people can open the same shared report and see different rows. This is deliberate: sharing a report never widens anyone's data access.

Note: This is the opposite of how scheduled email deliveries work. A scheduled snapshot is generated with the sender's access. If you need a recipient to see exactly what you see, schedule it to them rather than sharing it. See Schedule report delivery.

Change or remove access

Reopen Share, delete the chip for anyone who should lose access, and select Save. The list you save replaces the previous one.

If it doesn't work

Share is not offered. You are not the owner. Reports shared with you, and RTA standard reports, cannot be re-shared, copy them and share your copy.

A recipient sees no data. Their permissions apply to the report's results. If they have no access to the facilities the report covers, they get an empty report. This is expected.

"Failed to update report sharing." The change did not save. Reopen Share to confirm the current list before retrying.

Deleting a shared report. You are warned first: "This report is shared with recipients. Deleting it will remove access for everyone." Deleting removes it for all recipients, not just you.
