Use bulk actions on Work Order jobs

Requires the Close Work Order Lines permission to close jobs in bulk — the same permission used for closing a single job, see Work Order permissions. No separate bulk-specific permission was found; entering bulk selection mode itself isn't gated by a permission check. This article covers only bulk actions on Work Order jobs — Bulk Assign Technicians and Bulk Close — not the single-job versions (see Assign technicians to a job and Close or reopen a job) and not bulk actions in other modules, such as Assign Jobs, PMs Due, Stock Needed, or Purchase Order Lines.

Select jobs for a bulk action

  1. On the Work Order, select Bulk Actions.

    The Jobs list switches to a checkbox view, and a selection bar appears showing "0 Items Selected," Select All, and Clear.

  2. Select the checkbox on each job you want to include, or select Select All to select every eligible job at once.

    Only jobs that are Open or Partial can be selected — closed, voided, or deferred jobs don't offer a checkbox. The selection bar updates its count as you select or clear jobs.

  3. Choose which bulk action to run: Bulk Assign Technicians or Bulk Close. Both stay disabled until at least one job is selected.

Assign the same technician(s) to multiple jobs

  1. With one or more jobs selected, select Bulk Assign Technicians.

    The Bulk Assign Technicians panel opens, listing the jobs you selected.

  2. Select Add Technician, then choose a technician. Repeat for each additional technician you want to add.

    The scheduled-percent split across technicians updates automatically as you add or remove rows.

  3. Adjust each technician's scheduled percent if you don't want an even split. The total across all technicians can't exceed 100%.

  4. Select Apply To Selected Job.

    The same technician(s), with the same percentage split, are assigned to every job you selected — this panel doesn't support assigning different technicians to different jobs in the same batch.

Close multiple jobs at once

  1. With one or more jobs selected, select Bulk Close.

    NOTE: The Bulk Close panel opens and checks every selected job against the same requirements described in Work Order closure requirements. The panel shows counts of Selected, Ready, Warning, and Blocked jobs.

  2. Review the Blocked Jobs section, if it appears. Each blocked job lists the specific reason it can't close (for example, an open part request or an open inspection).

  3. If your organization uses completion codes, choose a completion code for each ready-to-close job.

  4. Select Close Selected Jobs.

    Every job that passed the check closes. Jobs listed under Blocked Jobs are left open — they are not closed and don't stop the rest of the batch from closing.

If this step fails

If some selected jobs close and others don't, that's expected: bulk close only closes the jobs that pass the closure check (the Ready count) and leaves the rest exactly as they were, with their blocking reasons still listed. There's no all-or-nothing failure — resolve each blocked job's listed reason, then select it again and repeat the bulk close.
