Time Zones in Fleet360
Fleet360 does not have a time zone setting that you pick from a list, and there is no per-user time zone preference. Each facility has its own time zone, and Fleet360 sets it automatically from the facility's shipping ZIP/postal code on the Facility File General Tab. Dates and times that Fleet360 records for a facility are kept in that facility's local time.
How a Facility Gets Its Time Zone
Open Organization > Facilities and select the facility.
On the General tab, make sure the shipping address ZIP/postal code is filled in and correct.
Save the field. Fleet360 looks up the time zone for that postal code and stores it on the facility. Changing the postal code later updates the time zone the same way.
If a facility has no shipping postal code, Fleet360 falls back to UTC for that facility. Times recorded for it will then look several hours off from local time. Enter the postal code to correct this going forward; entries already recorded are not recalculated.
The time zone itself is not displayed or edited on the facility screen - the postal code is the only control.
What Timestamps Are Based On
Fleet360 records the date and time of an action in the local time of the facility the record belongs to, not the time zone of the computer or browser you are using, and not your Working Facility. This applies to:
Work orders - created, started (In), scheduled and completed/closed (Out) dates and times.
Postings - parts, labor and other transactions posted to work order lines.
Fuel transactions - the posting date, including the check for whether a transaction is for the current day.
Paperless Shop - clock in, clock out and job times shown in Shop Activity and Shift Management. These are stored internally in UTC and shown in the facility's time zone.
Because the time is tied to the facility, a user in Phoenix looking at a work order from a facility in Chicago sees that work order's times in Chicago time. The values do not shift when a different user, in a different time zone, opens the same record.
Operating in More Than One Time Zone
Give every facility its own correct shipping postal code. That is what makes each facility's records show in its own local time.
Expect times on records from another facility to be in that facility's local time, even when you view them from your own facility or Company-Wide.
If an action is taken close to midnight, the date it lands on follows the facility's time zone, not the user's. This matters for daily counts and for the "today" check on fuel transactions.
On reports, dates and times are reported as stored - each facility's local time - and are not converted to a single time zone. A company-wide report that lists records from facilities in different time zones will show each record in its own facility's local time.
