Labor rate is not showing on a work order

You posted labor on a work order and the Labor Rate field is blank, or it shows a rate you did not expect, such as the same rate for every technician or an old rate for a technician whose pay you just updated.

Resolve this

Work through these checks in order. Each step narrows down the most common causes.

1. Check which rate source the system is set to use

If every technician shows the same rate, the system is applying one universal rate instead of individual rates.

  1. Go to AdminSystem SwitchesWork OrdersFlat Labor/Actual Hours.

  2. If Flat Rate is selected, check the Select Rate option. System applies the single Flat Labor Rate to everyone, so an individual employee rate is ignored. Employee uses the rate on the employee record.

  3. Set Select Rate to Employee if per-employee rates are expected, then save.

2. Check the rate on the employee record

A new employee with no rate entered has nothing to pull onto the work order.

  1. Go to AdminUsers and open the user.

  2. Open the Facility tab and select the linked employee. The Labor Rates panel only appears after you select the employee link.

  3. Confirm the employee’s wage is entered, not only one of the additional named labor rates, and save the change.

3. Check the facility the employee is linked to

The employee must be linked to the facility that owns the work order. An employee set up only at another facility will not bring a rate onto this work order. On the user’s Facility tab, add a link for the correct facility if it is missing.

4. Check that the posting is on the intended employee

In the Add Posting panel, confirm the Employee field shows the technician you mean. If a technician was already assigned to the job, the field is filled in for you and may not be the person you expected. A duplicate employee record is a common cause of an unexpected rate.

5. Check whether a flat rate applies to this job

When a customer flat rate or the system flat rate applies to the posting, the Labor Rate field is read only and shows that flat rate rather than the technician’s own rate. This is expected.

6. Reopen the work order after a change

A rate or switch change is picked up the next time the posting panel loads. Close and reopen the work order, then add the posting again.

A rate change applies to new postings only. Labor that has already been posted keeps the rate it was posted with, so closed and historical work orders do not change.
