Priority and Shop Codes on work orders: switches, permissions, and troubleshooting

Work Orders can prompt for a Priority code (how important the job is) and a Shop Code (which shop area does the work, such as Paint Shop or Body Shop). Each is controlled by its own system switch and maintained in its own code list - they are not related to Campaign permissions.

Priority Codes vs. Shop Codes vs. Campaigns

  • Priority Codes flag a work order’s importance and are defined in the fleet’s priority code list.

  • Shop Codes identify the shop area and are defined in the shop code list.

  • Campaigns are a separate Work Order feature (managed under their own Work Orders → Campaigns permissions). Campaign access does not affect the priority or shop code fields on a work order.

Where each setting lives

  • Use Priority Codes switch: Admin → System Switches → Work Order → Use Priority Codes (default on). Off = the priority prompt is removed from work orders.

  • Use Shop Codes switch: Admin → System Switches → Work Order → Use Shop Codes. Yes = prompt for a shop code on each work order; Validate = the code must match the shop code list; No = skip the field.

  • Priority code list: Maint. & Repair → Settings → Priority (see Priority Codes).

  • Shop code list: Maint. & Repair → Settings → Shop.

Permissions

  • View or change System Switches: the Configurations → Manage Configurations permission. Without it the System Switches option does not appear (see the User Permission Definitions Chart).

  • Add or edit priority and shop codes: the Maintenance System Codes permissions (view/create/edit/delete) in the user’s group.

  • Set the priority on a work order: the Edit Work Orders permission while the work order is open.

Troubleshooting

  • No priority dropdown when creating a work order: check that Use Priority Codes is on (the field is always shown on the work order but only editable when the switch is on and the user can edit the work order).

  • A code was added but does not appear in the list: priority and shop codes are loaded when the user signs in. After adding codes, have users refresh the browser or sign out and back in before the new codes appear.

  • Shop Code missing on new work orders: check Use Shop Codes is set to Yes or Validate.

  • Cannot see System Switches under Admin: the user’s group needs the Manage Configurations permission.
