Work Order status values

This reference describes the standard Work Order status values in Fleet360. Use it when you need to understand what a status means, what triggers a status change, or what actions are available in each state.

Custom Work Order statuses configured by your organization are not covered here. Contact your administrator for your organization's custom status definitions.


Standard Work Order statuses

What it means

How it is set

In Progress

The Work Order is active. One or more jobs are open and work is being performed or recorded.

System sets this when the Work Order is created or when a closed Work Order is reopened.

Add jobs, post labor and parts, update details, close individual jobs.

Ready for Review

All jobs on the Work Order are closed. The Work Order is ready for a supervisor or manager to review costs and confirm closure.

System sets this automatically when the last open job is closed.

Review costs, close the Work Order (requires Close Work Orders permission), or reopen a job if corrections are needed.

Closed

The Work Order is permanently closed. The record is final and historical.

Set by a user with the Close Work Orders permission.

View and report on the record. Reopen the Work Order if corrections are required (requires permission).


How status changes

A Work Order moves forward through statuses as work progresses. It can move backward only when a job is reopened — reopening a job on a Work Order that has reached Ready for Review or Closed returns the Work Order to In Progress.


Status and closure prerequisites

A Work Order cannot move from In Progress to Ready for Review until every job on it is closed. If the Work Order status is not advancing, check whether any jobs remain open.

Custom statuses

Your organization may have configured additional Work Order statuses to reflect internal workflows — for example, a Pending Parts status or an Awaiting Approval status. These are configured in Work Order system switches and are not documented here. Contact your administrator for definitions.
