Use Work Order templates
Creating or editing a template requires the Edit Work Order Templates permission. Adding a job to a Work Order from a template requires the Add Jobs permission. See Work Order permissions.
Create a template
In the navigation menu, select Work Order Templates.
The Work Order Templates list opens.
Select the create button in the toolbar.
NOTE: If you don't have the Edit Work Order Templates permission, you see a "no permission" message instead and the drawer doesn't open.
The Add Work Order Template drawer opens.
Enter a Template Name. This field is required (7 characters maximum).
Optionally enter a Description.
If your facility uses shop codes, select a Shop.
Select a Priority and a Reason. Both fields are required.
Select Save.
The template is created and opens on its own screen, showing the template's header fields and an empty Lines list.
In the Lines panel, select Add Line.
The Add Work Order Template Line drawer opens.
Select the Job VMRS code. This field is required.
Select the Repair Type and Cause Code. Both fields are required.
Complete any other line fields that apply — for example Outside Work and Vendor, Vehicle Status, Quantity of Jobs, or an Inspection Template.
Select Save to add the line to the template.
Repeat steps 8–12 for each job you want the template to include.
The template now lists its saved jobs and is available to select the next time someone adds a job to a Work Order.
Description, Shop, Priority, Reason, and Notes can be changed at any time directly on the template's screen — each field saves as soon as you change it. Template Name can't be changed after the template is created.
Add a job from a template
Open the Work Order and select Add Job — see Add a job for the Manual-mode steps.
In the Add Job panel, switch to Template.
Optionally search by template name, description, or job to narrow the list.
Select the template you want to use.
A confirmation dialog opens, listing every job the template will add, along with each job's VMRS, Repair Type, Cause Code, Vehicle Status, and Scheduled Hours.
Review the list, then select Add Job(s) to confirm — or Cancel to close the dialog without adding anything.
All of the template's jobs are added to the Work Order's Jobs tab at once. You can't add just one job from a multi-job template, or edit a field before the jobs are added — to change something, edit the job afterward, or edit the template first (see Create a template above) and select it again.
If this step fails
If a template's job doesn't have a valid VMRS code assigned, none of the template's jobs are added. You're prompted to open the template instead — select the option to go to the template, fix the line's VMRS code (see Create a template above), then try adding the job again.
