Sharing Dashboard Metrics and KPIs

Fleet360 dashboards are viewed inside Fleet360, at Home, then Analytics, then Dashboard. There is no option that sends a dashboard, a widget, or a single KPI value to another person as a shared view or a link.

Share is not available in RTA Fleet360. The Share option, along with Monitor in activity center and Storytelling snapshots, appears in the widget right-click menu and in the container options, but these options are not enabled in Fleet360. Use one of the supported methods below instead.

Downloading a Dashboard

A whole dashboard cannot be downloaded as one file. Fleet360 does not offer a dashboard-level export to PDF, image or Excel, and there is no print button on the dashboard screen. Downloading works one widget at a time, from the widget itself.

If someone asks you to download or send a dashboard, do one of these instead:

A recurring copy by email

Right-click a widget and choose Subscribe for scheduled email updates of that widget.

A printable or shareable document of the underlying data

Run the equivalent report from Reports and export or schedule it. See Scheduling Reports.

Download one widget

  1. Set the dashboard filters so the widget shows the data you want.

  2. Right-click the widget to open the chart options.

  3. Choose Download, then choose the format:

    • Data gives you a Microsoft Excel .xlsx file of the values behind the widget.

    • Image gives you a PNG picture of the widget as it looks on screen.

    • PDF gives you a printable page of the widget.

  4. On a table widget you can also use the download icon in the top right corner of the widget, without right-clicking.

What you get depends on the widget. Charts and tables that hold data offer all three formats. If a widget has no downloadable data, the Data option is not offered and you are given the image instead. Layout objects rather than charts, such as a filter pane, a button, a text and image box or a navigation menu, cannot be downloaded at all.

A downloaded file contains the widget as filtered at the moment you downloaded it, and the file does not say which filters were applied. State the facility, date range and any other filters when you send it. There is no separate permission for downloading: anyone who can open the dashboard can use these options.

Ways to Get a Metric to Someone Else

Send the number or the file yourself

  1. Set the filters on the dashboard so the widget shows exactly the data you want.

  2. Right-click the widget.

  3. Choose Download, then choose Data, Image or PDF. Data produces a Microsoft Excel .xlsx file, Image a PNG, and PDF a printable page. To copy a single number instead, choose Copy cell value.

  4. On a table widget you can also use the download icon in the top right corner of the widget without right-clicking.

  5. Attach the file or paste the value into your own email.

Filters are not carried in a downloaded file, so state the facility, date range, and any other filters you applied when you send it.

Download is available on the dashboard widgets that hold data, whether you reach it from the right-click chart options or from the download icon on a table widget. Two limits are worth knowing:

  • If a widget has no downloadable data, the Data option is not offered and you are shown the image download instead.

  • Layout objects rather than charts, such as a filter pane, a button, a text and image box or a navigation menu, cannot be downloaded.

Have the metric emailed on a schedule

Right-click the widget and choose Subscribe to receive scheduled email updates of that widget's data.

Be notified when a metric changes

Right-click the widget and choose Alerts to set a threshold, so the metric is reported when it crosses the value you set.

Give the other person the same dashboard

Anyone with a Fleet360 login and dashboard view access opens the same dashboards you do, at Home, then Analytics, then Dashboard. This is usually the fastest answer to a request to share a dashboard:

  • Tell them which dashboard to select from the dropdown in the upper right, and which filters to set.

  • If they cannot see dashboards at all, dashboard access is a user permission, so have it reviewed for their user.

Build a dashboard for a group of users

A custom dashboard puts the widgets a team cares about on one page for a user group, so the metric is waiting for them the next time they log in. Custom dashboards are set up per facility and per group. See Custom Dashboard.

A chart or table produced by Ron360 can also be saved as a widget and added to a custom dashboard, and a saved widget goes into the company-wide widget library rather than staying with the person who saved it. See Saving Ron360 Charts and Tables to a Dashboard.

What to Do If You Were Told to Use Share

If instructions elsewhere tell you to click Share on a widget or a container, that option is not enabled in Fleet360 and no setting turns it on. Use Download, Subscribe, Alerts, a custom dashboard, or dashboard access for the other user, as described above.

Questions About Downloading Dashboards

How do you download a dashboard?

One widget at a time. Right-click a widget, choose Download, and choose Data, Image or PDF. There is no single file that contains the whole dashboard.

Can I download an entire dashboard as one PDF, image or Excel file?

No. Fleet360 has no dashboard-level export and no print option for a dashboard. Download the widgets you need, or run and export the equivalent report from Reports.

Which widgets can be downloaded?

Any widget that holds data, whether it is a chart, a KPI or a table. Filter panes, buttons, text and image boxes and navigation objects cannot be downloaded.

Does the download include the filters I applied?

The file contains the filtered values you were looking at, but it does not record which filters were applied, so say so when you send it.
