Posting types

This reference describes the posting types available when you post labor, parts, tires, or other charges to a job on a work order. Use it to understand what each posting type records and which one applies to the work you're recording. It does not describe how to perform a posting — see Related tasks below for the how-to articles.


Core posting types

These are the posting types available for in-house (non-outside) jobs, shown as tabs in the Add Posting panel. Tires and Warranty are available only where the corresponding feature is enabled for the tenant.

Labor

Hours worked by a technician on a job, and the labor rate used to bill them.

Mechanic, hours worked, billed (chargeable) hours, labor rate, billed rate, posting date.

Recording time a technician spent on a job.

Parts

An inventory part consumed from a bin, at a unit price, against a job.

Part number, bin (A–E), quantity, unit price, posting date, optional stock locations, optional warranty-claim flag.

Recording a stocked part taken from inventory to complete a job.

Part Kit

A predefined kit of parts posted together as one unit, with optional per-component stock locations.

Part kit, quantity, posting date, optional component stock positions.

Posting a bundled kit of parts (for example, a brake kit) in one step instead of posting each part separately.

Non-inventory part

A part not carried in stocked inventory, entered by number, description, and cost at the time of posting.

Part number, part description, quantity, cost, posting date.

Recording a part used on a job that isn't tracked in the parts inventory file.

Tires

A serialized tire mounted to (or dismounted from) a position on the asset, with its posted price.

Tire number, tire position, price, posting date. If a tire is already mounted at the selected position, posting prompts a dismount of the old tire first.

Recording a tire change on a job. Available only where Tire Posting is enabled for the tenant.

Miscellaneous

A one-off charge that doesn't fit labor, parts, or tires — an item, its price, quantity, and a description.

Item, price, quantity, description, posting date.

Recording a charge such as a shop supply fee or a miscellaneous cost not covered by another posting type.

Warranty

A labor, parts, or tire transaction posted as warranty work rather than billable work, using the same item/price/quantity shape as Miscellaneous plus a sub-type choice.

Sub-type (Parts, Labor, or Tires), item, rate or price, hours or quantity, description, associated vendor.

Recording work performed and covered under warranty. Available only where Warranty Posting is enabled for the tenant. This is a separate posting type from the automatic warranty-claim prompt that can appear while posting a Part (see note below).


Outside (sublet) posting types

When a job is marked Outside Work, its posting tabs change to the outside equivalents of Parts, Labor, and Tires. Miscellaneous and Warranty remain available and behave the same as for in-house jobs.

Recording parts supplied by an outside/sublet vendor rather than posted from your own inventory.

Outside Labor

A labor charge billed by an outside vendor, with markup applied.

Item, price (with vendor markup), quantity, description, vendor, PO number, posting date.

Recording labor performed by an outside/sublet vendor rather than your own technicians.

Outside Tires

A tire charge billed by an outside vendor, with markup applied.

Item, price (with vendor markup), quantity, description, vendor, PO number, posting date.

Recording a tire service performed by an outside/sublet vendor.


Note: warranty-claim prompt during a Parts posting

Posting a Part that has active warranty coverage (OEM, dealer, or otherwise) can prompt you to confirm whether a warranty claim should be created automatically for that part, based on the part's warranty status (Covered, Expired, Unknown, or OEM). This prompt is part of a normal Parts posting — it is not the same as choosing the Warranty posting type described above, which posts a labor, parts, or tire transaction directly as warranty work.
