Paperless Shop Access & Permissions
This article explains how access to Paperless Shop is granted. Paperless Shop is available on all tiers, so access is controlled by two things: the user group must include the Paperless Shop permissions, and the technician must be set up in Employee Maintenance. Both are required before a technician can start a shift and work jobs.
User Group Permissions
Paperless Shop access is granted in the User Group matrix. In Admin > User Group, select the group’s column and expand the module that groups the shop and time-clock actions, then set the permissions that control each area. See User Group Maintenance for how to read and edit the matrix.
- Time Clock controls clocking in and out and the technician screens (My Work, Shop Activity, and Start Shift). A technician needs this to start a shift and clock into jobs.
- Time Clock Override allows correcting or overriding time-clock entries.
- Assign Jobs (View / Edit) controls the Assign Jobs and Shop Scheduler screens. View opens them; Edit allows assigning and changing job assignments.
After changing permissions, confirm the user group is assigned for the correct facility, then have the user log out and back in for the change to take effect.
Employee Maintenance Setup
Permissions alone are not enough. For a technician to appear in and use Paperless Shop, they must also be set up in Employee Maintenance with a facility-linked employee record and a PIN. The PIN is required when the Paperless Shop Password prompt is turned on. Because that employee record is part of a user, the technician needs a Fleet360 user and an available license. There is no employee-only path. See Creating New Users Individually for adding the user.
Troubleshooting

| A technician cannot clock into a job | Confirm Time Clock, and that the technician has an employee record with a PIN in Employee Maintenance. |
| A technician is missing from Assign Jobs | Confirm the technician has a Fleet360 user and an employee record; the person assigning jobs needs Assign Jobs (View / Edit). |
