Adding a New Shift Line

This may be necessary when a technician has not clocked into a job and needing to adjust the shift to reflect either that direct or indirect transaction.

  1. Access Shift Management by navigating to the Maintenance and Repair and then Settings items through the system main menu

  2. Using the Date Range Item, select the date range that includes the date in which the shift needs to be added

  3. Locate the technician name from the list that needs the shift added

  4. Click on the technician line item from the list

  5. Click the (plus) icon in the upper right corner of the screen

  6. Click in the Begin Date Line to launch the calendar to select the begin date (Typing the date is not an option)

  7. Click in the Begin Time line to launch the clock to select the begin time for the shift (Typing the time is not an option)

  8. Use the Type dropdown to select the type of shift line being added

  9. The End Date and End Time prefill with the same values as the begin date and time. If the entry started within the last 12 hours, you can clear them and save the entry open.

  10. Change the end date and time by clicking into the lines and selecting from the calendar for the date and the clock for the time, or clear both to leave the entry open (see Saving an entry that is still in progress).

    1. A begin and end shift should not have the date and times adjusted as this are typically a single stamp in time and don’t carry on for any amount of time

  11. If the type in step 8 was Direct, enter the Work Order number and line on which the direct job was conducted

    image-20240621-000557.png

  12. IF the type in step 8 was Indirect, use the Indirect Job drop down to select the appropriate indirect job code associated with the new line

  13. Total Time fills in automatically from the begin and end dates and times. An open entry has no Total Time until you add the end.

  14. Click Save

Saving an entry that is still in progress

You can save a shift, a Direct line or an Indirect line without an end date and time when the work is still going on. Add the end when the work is done.

An entry can be saved open only when all of these are true:

  • It started within the last 12 hours. Exactly 12 hours ago still qualifies.

  • It did not start in the future.

  • Its type is Direct, Indirect, or a new shift. Lunch, Time off (PTO), Begin shift and End shift entries always need an end.

  • For a Direct or Indirect line, the shift it belongs to is still open. A line inside a shift that has ended needs an end.

A technician can have one open shift at a time. Fleet360 does not accept a second begin shift while a shift is open.

If you save an entry without an end and it does not meet these conditions, Fleet360 rejects the save with incomplete inserted event. Enter the end date and time and save again.

To add the end later, open the entry with the edit pencil and enter the End Date and End Time. See Editing Existing Shift Lines via Shift Management.

Adding PTO Block

This helps maintain accurate labor reporting and ensures PTO or other non-working periods are reflected in mechanic reports.

  2. Click the (plus) icon in the upper right corner of the screen
