Printing a Work Order


Four standard work order print formats are available: 1) Standard, 2) Shop, and 3)Time Stamp and 4) Mechanic Copy. Print formats can also be custom programmed to fit your pre-printed work order forms. To print a work order, do the following:

  1. Select WOs > WOs OR WOs > Batch WOs from the RTA main menu (WW, WB).
  2. Enter the work order number to be printed or press F1 to select a work order from the lookup list.
  3. Enter the meter reading, posting date, posting period as prompted.
  4. Select File > Print from the menu or click on the Print WO icon in the toolbar.
  5. Select the radio buttons corresponding to your print choices.

The default answer for the work order print type can be set to your choice in the "WO Defaults" switch (SSI, Miscellaneous I tab , switch 38).

Standard Work Order

The Standard format shows all the jobs and transactions posted to the work order. This is a finished format that can be used as an invoice and given to customers. The "Print WO Costs" switch controls whether prices are included on the printout (SSI, Miscellaneous I tab, switch 44). Subtotals can be optionally printed for each individual job.

Shop Work Order

The Shop work order is what you might hand to the mechanic when he is ready to start working on a vehicle. It doesn't include parts and labor detail but rather includes only a list of jobs to be performed on this vehicle. The mechanic writes down the parts used for the job, records his hours, and any notes pertaining to the job. If the work order contains a checklist, the checklist is printed with the Shop work order. If the "Print parts pick list" switch is set to YES (SSI, Miscellaneous I tab, switch 35) and a part kit is assigned to the job, a parts pick list also prints when the Shop work order is printed. When the job is done, the shop work order is turned in for processing.
NOTE: It is also possible to print a blank Shop work order. This provides the mechanic with a blank form in the event he is ready to work on a vehicle but the work order has yet to be created. Blank Shop work orders can be printed by selecting WOs > Lists > Shop WOs from the RTA main menu and choosing the Blank radio button (WLS).

Mechanic Copy Work Order

The Mechanic Copy work order is similar to the Shop copy and is offered as a simplified alternate layout. If the "Print parts pick list" switch is set to YES (SSI, Miscellaneous I tab, switch 35) and a part kit is assigned to the job, a parts pick list is included with the printout.

Time Stamp Work Order

The Time Shop work order is similar to the Shop copy, but it contains four time stamp slots per work order line for mechanics to record the starting and ending times for each job. This version of the work order is very useful when the Time Calculation (F2) feature is used when posting labor to work orders. If the "Print parts pick list" switch is set to YES (SSI, Miscellaneous I tab, switch 35) and a part kit is assigned to the job, a parts pick list is included with the printout.
