RTA Inspect - Troubleshooting
RTA Inspect access, vehicle limits, and setup requests
RTA Inspect is a separate app with its own account. Fleet360 connects to that account through Admin > Integrations > RTA Inspect. Because of that, three things that look related are counted separately:

Adding an asset in Fleet360, or having Fleet360 asset licenses left over, does not add a vehicle to RTA Inspect. The asset still has to be linked, and the RTA Inspect account still has to have a license available for it.
The app says the vehicle limit is exceeded
The limit is enforced by RTA Inspect, not by Fleet360. When you link an asset, Fleet360 sends it to RTA Inspect; if the account is already at its licensed vehicle count, RTA Inspect rejects it and the link fails. The asset stays in Fleet360 and nothing is lost.
To free a license, unlink a vehicle you no longer inspect (Admin > Integrations > RTA Inspect, the - button), then link the new asset again. Unlinking marks the vehicle unlicensed in RTA Inspect; it does not delete anything in Fleet360.
Vehicles that were added directly in the RTA Inspect app also use licenses. Check the Fleet > Vehicles list in the app for old or duplicate entries.
To raise the limit, contact RTA Support (support@rtafleet.com) or your RTA account team. The vehicle count is part of the RTA Inspect account, so it is not something a Fleet360 administrator can change on the Integrations screen.
We need RTA Inspect turned on
RTA Inspect is included with Platinum tier subscriptions and higher. If your subscription includes it, a Fleet360 user whose user group has the Integrations manage permission can set it up by following RTA Inspect - Set Up and Linking Assets. No Support ticket is needed for that step.
If the Integrations menu is not available to you, or you are not sure your subscription includes RTA Inspect, contact RTA Support (support@rtafleet.com) or your RTA account team.
Check these first before contacting Support
Is it one user or everyone? One user who cannot sign in or cannot see vehicles is almost always an account or invitation problem (see the sections below). Everyone losing access at once points at the integration or the RTA Inspect account.
Is the vehicle linked? Open Admin > Integrations > RTA Inspect and confirm the asset is in the linked list. An asset that only exists in Fleet360 will not appear in the app.
Is the user invited to the same RTA Inspect account? Users are managed in RTA Inspect (see RTA Inspect - Adding Users), not in Fleet360 user groups. A Fleet360 login does not sign a driver into RTA Inspect.
Is the app up to date and signed in to the right account? If the app was previously used with another company, log out and sign in again.
Is the integration in a failure state? On the Integrations screen the RTA Inspect tile shows a failed status when the connection to the account is broken (for example the integration key was revoked). Re-link the account with a new integration key.
When to contact Support (support@rtafleet.com): the vehicle limit needs to be raised, you need RTA Inspect added to your subscription, or the app crashes or stops syncing for several users. Include the company name, the affected user or vehicle, and a screenshot of the message. App crashes and sync problems need investigation and are not something Support can fix from a chat answer.
A New User Cannot Activate Their Account
There is no Activate Account button in the app. Email users set their own password: tap Email Login, then Reset Password, enter the email address the invitation was sent to, set a password from the reset email, and sign in with Email Login. See RTA Inspect - User Account Set Up.
The user is waiting on an activation email or an activation code. Invited email users receive a password reset email, so there is nothing to activate.
The user is trying to sign in with their Fleet360 or RTA Mobile login. RTA Inspect has its own accounts: the user must be invited in RTA Inspect (see RTA Inspect - Adding Users). A Fleet360 login does not work in the Inspect app, and a “user profile is misconfigured” message is an RTA Mobile message, covered in RTA Mobile - Getting Started.
No reset email arrives. Check junk and spam, confirm the address the user was invited with, then reach out to RTA Support (support@rtafleet.com) to review the account setup.
Common Reasons for Links to Fail
You have exceeded the licensed vehicle count in RTA Inspect. RTA Inspect allows a set number of licensed vehicles per account, and it rejects a link that would go over that number. Unlink a vehicle you no longer need (check its box under the “-” button) to free a license, then link again. To raise the count, contact RTA Support. Duplicate VIN numbers on vehicles that were manually added to RTA Inspect. When linking over, if you have preexisting vehicles in RTA Inspect, RTA tries to match vehicles based on VINs. If RTA Inspect has 2 vehicles with the same VIN, the integration will fail to link because simply, we don’t know which RTA Inspect vehicle that RTA vehicle maps to!
Issue Sync
Issues found from RTA Inspect will be automatically added to the Driver Reports module in the vehicle’s home facility that they were reported on, and update the vehicle odometers accordingly. As status changes are made (for example, the issue is assigned to a work order in RTA), the integration will call back to RTA Inspect and update its status accordingly (such as “In Progress”). That’s it! Nothing else you need to do, except do your work and let RTA and RTA Inspect handle the rest!
Currently, it could take up to 15 minutes for issues to be synced both ways. So, if you expect something to be there, wait for at least 15 minutes, and then reach out to RTA Support (support@rtafleet.com) for troubleshooting.
